Decompose the Work Before Choosing a Model

Map the journey from ticket intake to a proposed routing decision. Separate intent identification, field extraction, evidence review, and the final business-rule decision; specify the input, output, owner, and acceptable wait for each step. In a hypothetical ticket that asks about both a refund and account access, define whether the output permits multiple labels or must go to a person. Keep high-impact decisions and ambiguous cases outside automatic routing unless your organization has approved explicit criteria. This decomposition helps you measure the work each request creates instead of treating every ticket as an identical API call.

Match Text, Images, and Audio to the Need

Inventory the information that actually arrives in tickets. If message text contains everything needed for routing, test a text-only path first. If a screenshot carries the relevant error, check the current main platform documentation for an accessible model and its supported input format before designing an image path. If customers leave voice messages, decide whether transcription is needed and include transcription mistakes in downstream evaluation. NexoToken provides AI model API access, but do not assume any particular input type is available through every model. Define a fallback to request clearer evidence or send the ticket for human review when an input cannot be processed.

Evaluate With Your Data and Size the Queue

Build an appropriately authorized evaluation set with ordinary requests, mixed intents, missing attachments, hard-to-read screenshots, and unclear speech. Have reviewers record expected routing labels, evidence requirements, and escalation conditions before running a candidate workflow. Then record actual outputs, reviewer corrections, elapsed time, and failure categories; do not infer production performance from a small illustrative example. For capacity, estimate arrivals by time window, request size, expected processing stages, and the waiting time your application can tolerate. Run your own pilot to observe delays and consumption under representative load. Use account platform credits and usage history to reconcile that consumption with your operating budget, then revise concurrency and staffing assumptions.

Handle Failures and Revisit the Plan

Make each failure branch executable. If required fields are absent, ask for the missing information; if an attachment is unreadable, preserve the original and route it for review; if a proposed result conflicts with a deterministic policy, block automatic routing. On an API failure, retain the ticket state and define when to retry versus hand off, so repeated attempts do not create duplicate work. In a hypothetical screenshot with its error message cropped out, mark the evidence insufficient rather than inventing the missing text. Before release, exercise these branches with your own cases. After release, review usage history alongside human reroutes, waiting tickets, and recorded errors, and change capacity or routing rules only in response to the outcomes you actually observe.
