Define the Workload and Spending Boundary

Specify the decision the workflow should support: organizing expense records, suggesting categories, or flagging items for review. Define which fields may be processed, what must be approved by a person, and the acceptable spending and call boundaries. Treat generated suggestions as drafts, not ledger entries or commitments.

Hypothetical example: a small team wants to organize receipts and expense notes. It extracts fields, proposes categories, and sends uncertain items to an owner for approval. Estimate workload by stage and input size, then use the separately displayed verified catalog and prices for your own budget calculation. Record a credit reserve and a stop condition before a pilot.

Decompose Intake by Modality

Start with text: expense notes, category rules, and exception descriptions are suitable inputs when the selected model supports the task. Check extracted dates, merchants, and line items before passing them to classification, and keep the original material available for review. Do not assume that text handling also covers images or audio.

Add receipt images only when the current catalog confirms support for that input. Validate image extraction separately, including cropped, blurred, or partly obscured receipts. Audio can be useful for dictated budget-change notes when the selected model supports the required audio task; review any transcript before using it as source data. If support is absent or sensitive account details are present, use manual entry or redact first.

Build Evaluation Data Before Routing

Create a small, representative set of records checked by a person. Include clear receipts, ambiguous descriptions, abbreviated merchant names, borderline categories, and records missing required fields. For each item, write down the expected fields, acceptable category choices, and conditions that require human review. Do not use generated answers as the reference standard.

Run your own checks by comparing outputs with those labels. Record omissions, incorrect categories, unsupported additions, and whether uncertainty was surfaced. Separate results by input type so an image problem is not hidden by successful text cases. If an important error passes through the approval rules, revise the prompt or validation step and repeat the check before expanding the workflow.

Control Throughput and Handle Failures

Estimate input and output volume for each stage, then increase traffic gradually while recording latency, failures, retries, and review effort. Follow the limits described in current platform documentation rather than assuming undocumented API behavior. With NexoToken, use the available usage history to reconcile actual consumption, and consult the current main platform documentation to understand how platform credits are recorded.

For a timeout or rate limit, apply bounded retries and prevent duplicate writes. For an unreadable image, unclear audio, or weak evidence for a category, route the item to a person instead of guessing. Stop or narrow the workflow if actual usage exceeds the budget boundary, important errors evade review, or the manual queue becomes unmanageable. Expand only after your own checks show that the controls work for the workload you intend to process.
